Role Overview
The Executive Assistant will provide high-level administrative, scheduling, communication, and coordination support to the President and COO. The role requires a highly organized, proactive, and detail-oriented professional who can manage competing priorities, coordinate executive schedules, respond promptly to clients and stakeholders, and ensure the timely execution of key tasks.
Key Responsibilities
- Manage and coordinate the President and COO’s schedules, meetings, appointments, and daily priorities.
- Prepare and submit the COO’s next-day schedule accurately and on time.
- Proactively identify and resolve scheduling conflicts to ensure smooth executive operations.
- Respond promptly and professionally to client and stakeholder enquiries via WhatsApp, email, and other communication channels.
- Provide accurate information and follow up on enquiries until resolution.
- Coordinate and resolve document-related issues, including missing files, formatting errors, and incorrect drafts.
- Track and follow up on priority tasks to ensure timely completion.
- Maintain accurate records and consistent use of CRM systems and approved SOPs.
- Track and support monthly sales inflow against the Principal’s revenue target.
- Provide administrative and coordination support to the Executive Office.
- Maintain proficiency in relevant CRM Software
- Identify and recommend tools, processes, or training that can improve executive effectiveness and team productivity.
- Handle sensitive and confidential information with discretion and professionalism.
Requirements
- Bachelor’s degree in Business Administration, Management, or a related field.
- 2–4 years’ experience as an Executive Assistant or in a similar high-level support role.
- Excellent written and verbal communication skills.
- Strong organizational and time-management skills, with the ability to manage complex calendars and multiple priorities.
- Proven ability to manage high-volume schedules and avoid conflicts.
- Working knowledge of CRM systems
- Excellent attention to detail and a high standard of accuracy in communication and documentation.
- Strong follow-up, task management, and problem-solving skills.
- High level of discretion and professionalism when handling confidential information.
- Proactive mindset with the ability to anticipate needs and recommend process improvements.
- Ability to work effectively in a fast-paced executive environment.
